Customer onboarding portal

Client portal software built around the onboarding plan

OnboardingCustomers is client portal software made for onboarding. Every new customer gets a branded portal with a progress bar, the next steps they own, intake forms, document requests, e-signatures and kickoff booking. Contacts open it with a secure magic link, so nobody on the customer side needs a password or a seat.

Why onboarding needs its own client onboarding portal

Most implementation teams already have a place for customers. It is the inbox. The welcome email carries the plan as a spreadsheet attachment, the intake questions arrive as a Word document, the security questionnaire comes back three replies later, and the IT contact who was supposed to send the SSO metadata was never copied on the thread. Nobody on either side can answer the simple question of what is left to do.

A customer onboarding portal fixes that by giving the project one address. The champion at Northwind Logistics opens a single link and sees that Discovery is complete, Configuration is in progress, two of their tasks are due this week and one file was rejected with a note explaining why. The implementation manager sees the same project from the inside, with the vendor tasks and internal comments the customer does not see.

General purpose customer portal software is built for support or billing. It shows tickets, invoices and a shared folder. That works after go-live, but onboarding is a project with a start, a finish and a list of things the customer must do in order. The portal has to be shaped like that project, which is why ours is generated from the plan rather than set up separately.

If you are still choosing a category of tool, our guide to the best client portal software compares portal add-ons, file sharing rooms and onboarding platforms side by side.

Magic link access

Contacts sign in from the email address you invited. No password to set, nothing to forget, and access ends when you remove the contact.

Only their next steps

Each contact sees the tasks assigned to them first. The finance lead sees the W-9 request, the admin sees the user import, and the champion sees everything.

No charge per customer user

Invite the whole customer project team. Seats are counted only for your own staff, so nobody holds back an invite to save on licenses.

What the customer finds inside the portal

Everything an onboarding asks of the customer lives on one page, in the order the plan needs it.

Progress and next steps

A progress bar by phase, the target go-live date and a short list of what the customer owns this week.

Intake forms

Questions about users, locations, data sources and settings, with answers mapped straight into the plan.

Document requests

Each requested file shows whether it is requested, uploaded, approved or rejected with a reason.

E-signatures

Order forms, data processing agreements and change requests signed in the portal with a full audit trail.

Kickoff booking

Open slots from your team calendar, picked by the customer, confirmed with a calendar file.

Training and articles

Short courses and help articles assigned per phase, with completion tracked so you know who is ready.

Secure client portal software compared with the usual options

Teams usually arrive here from one of three setups. This is how they differ on the points that matter during onboarding.

A customer portal that stays in sync with your CRM

Teams that search for a CRM with client portal usually want one thing. They want the account record and what the customer sees to tell the same story. With HubSpot, Salesforce or Pipedrive connected, the deal that moves to closed-won creates the project, the plan and the portal in one step, and the onboarding stage, go-live date and health flow back to the deal as they change.

Take Brightline Health, a clinic software vendor onboarding twelve new practices a month. Before the portal, each practice manager received six separate emails in the first week. Now the closed-won deal opens a portal with the practice intake form, the business associate agreement to sign and three kickoff slots. The practice manager sees four tasks, the IT contact sees two, and the implementation lead watches all of them from one list. When a task goes overdue, the reminder rules follow up during the recipient's business hours.

Branding by plan

  • Startup ($49 per month billed yearly) shows your logo and accent color.
  • Growth adds a custom sender name on every portal email.
  • Scale serves the portal from your own domain.
  • Enterprise is fully white label, with SSO for your team.

What a contact sees on day one

  • Welcome note from the implementation manager
  • Target go-live date and current phase
  • Book your kickoff, three slots offered
  • Complete the account setup form
  • Upload the user list in the import template
  • Sign the data processing agreement

Frequently asked questions

Still deciding? Write to [email protected] and a person on our team answers.

Do customers need an account or a password to use the portal?
No. Each customer contact gets a magic link sent to their own email address. The link opens their portal directly, expires after a set time and can be revoked by your team at any moment, for example when a contact leaves the company.
Do customer portal users count as paid seats?
No. Customer contacts are never billed. Seats are only for your own team (3 on Startup, 10 on Growth, 30 on Scale, 100 on Enterprise), and you can invite as many people from the customer side as the project needs.
Can the portal carry our brand?
Yes. Every plan uses your logo and accent color. Growth adds your own sender name on emails, Scale adds a custom portal domain such as onboarding.yourcompany.com, and Enterprise removes our name entirely with white label.
How is this different from a CRM with a client portal?
A CRM with a client portal usually shows tickets, invoices or a document folder. This portal is organised around the onboarding plan itself, so the customer sees phases, their own tasks, what is overdue and what happens next, all in one place.
Is the portal secure enough for sensitive files?
Files are stored encrypted, checked for type and viruses on upload, and visible only to the people invited to that project. Every view, upload, approval and signature is written to the audit log with time and user.
