Professional Services Automation Software or an Onboarding Layer

Professional services automation software manages the business of selling hours: resource planning, timesheets, project budgets and services billing. Customer onboarding software manages the customer journey from signed deal to go-live: the plan built from the SOW, the customer portal, documents, signatures, health and the handoff. Many teams need the first, almost every team needs the second.

What professional services automation software is built for

PSA suites grew out of consulting and agency businesses where the product is people's time. The questions they answer are financial and operational: who has capacity next month, how many hours are left in this budget, which projects are over-servicing, what should we invoice on Friday. To answer them well, a PSA suite needs every hour logged and every person scheduled.

That makes PSA software heavy by design. Setting one up usually means defining rate cards, roles, project types, approval flows and finance integrations. For a firm that bills by the hour, it is worth it. For a SaaS company whose onboarding is included in the subscription, most of that machinery has nothing to measure.

What customer onboarding software is built for

An onboarding layer starts where the deal ends. It reads what was sold, builds a plan with tasks for both sides, opens a portal for the customer, collects documents and signatures, reminds people, scores risk and hands the account to Customer Success at go-live. Its questions are about the customer: are they on track, who on their side is stuck, are we going to hit the date.

PSA suite in one line

Runs the services business. People, hours, budgets, margins and invoices.

Onboarding layer in one line

Runs the customer journey. Plan, portal, documents, signatures, health and handoff.

Where they overlap

Both hold a project with tasks and dates. The difference is who the project is for and who has to act on it.

PSA software and an onboarding layer side by side

A category comparison. Specific products differ, and some PSA suites include a basic client view, but the center of gravity of each category is consistent.

When you need PSA software, an onboarding layer or both

Onboarding layer only

Kestrel Payroll, a fictional payroll SaaS, includes onboarding in the annual contract. Nobody bills hours. The pain is customers who take weeks to send employee data and sign the bank mandate. They need a plan, a portal, document requests, signatures and reminders. A PSA suite would add timesheets nobody wants to fill.

PSA only

A fictional strategy consultancy runs six-month engagements where the client mostly attends workshops. Utilisation and budgets decide whether the firm makes money, and the client has little to upload or sign. Their PSA suite covers it.

Both

Quillmere Freight Partners, a fictional logistics implementation firm, sells fixed-fee onboarding packages plus hourly change requests. They keep their PSA suite for hours and invoices and use an onboarding layer for the customer-facing plan, the customer onboarding portal and the handoff. The two meet on the same customer name and go-live date.

How to choose between professional services automation tools and an onboarding layer

  • Do you invoice by the hour or against a services budget? If yes, you need PSA capabilities somewhere.
  • Does the customer do a large share of the work? If yes, you need a customer-facing portal with tasks, documents and signatures.
  • Does scope live in a SOW or a CRM deal? If yes, building the plan from it removes the most error-prone step.
  • Who owns the account after go-live? If it moves to Customer Success, you need a customer success handoff that carries context.
  • How many customers are in onboarding at once? Above a dozen, health scoring stops being a nice extra.

If you already run a PSA suite, adding an onboarding layer does not mean migrating. Keep time and billing where they are, connect HubSpot, Salesforce or Pipedrive, and let the closed-won deal start the onboarding plan. For running the plan day to day, see implementation management software.

What OnboardingCustomers covers and what it leaves to other tools

OnboardingCustomers is an onboarding layer. It builds the plan from the SOW or deal, runs the portal, collects documents and signatures, books the kickoff, scores health and hands off to Customer Success.

It does not track time, schedule capacity or issue services invoices. Plans start at $99 per month, or $49 per month billed yearly, and every plan is self-serve. Details on the pricing page.

What is PSA software?
PSA software, short for professional services automation, is a suite for firms that sell services by the hour or by the project. It covers resource scheduling, time tracking, project budgets, utilisation reporting and services invoicing, and often links to finance systems.
Can customer onboarding software replace a PSA suite?
Not if you bill hours against budgets or schedule consultants across many projects. Onboarding software does not do timesheets, utilisation or services invoicing. It replaces the spreadsheet plan, the email chasing and the handoff meeting, not your billing system.
Can a PSA suite replace onboarding software?
Sometimes, if your customers do very little of the work and you accept an internal-first project view. Teams whose customers must fill forms, upload files, sign and attend training usually find the client view of a PSA suite too thin.
How do the two tools work together?
The CRM deal closes, the onboarding plan is built from the SOW and shared in the portal, while the PSA suite schedules people and tracks hours on the same customer project. Go-live date and health go back to the CRM.
Which professional services automation tools are best for small teams?
Small teams that do not bill by the hour often skip PSA altogether. If onboarding is your main services work and it is included in the subscription, an onboarding layer plus your CRM usually covers it.
