CRM integrations for customer onboarding

OnboardingCustomers connects to HubSpot, Salesforce and Pipedrive with OAuth. When a deal moves to closed-won, the onboarding starts with deal fields imported into the plan. As the onboarding runs, its stage, go-live date and health are written back to the deal, so sales and leadership see progress in the CRM.

What syncs in both directions

Data moves only where it saves someone a manual step. The CRM stays the record of the deal, OnboardingCustomers stays the record of the onboarding.

From the CRM to OnboardingCustomers

  • Closed-won trigger. A deal or opportunity reaching closed-won creates the onboarding.
  • Company and deal name. Used as the customer record and the portal title.
  • Deal fields. Products, amount, seats, close date and target start or go-live date when present on the deal.
  • Contacts. People associated with the deal, available to invite to the customer portal.

From OnboardingCustomers back to the CRM

  • Onboarding stage. The current phase, such as Kickoff, Configuration or Go-live.
  • Go-live date. The target date, updated when the plan moves.
  • Onboarding health. On track, at risk or blocked.

With these three fields in the CRM, revenue forecasts can follow go-live dates and account executives see when their customer is live without asking the implementation team.

CRM integrations on each plan

PlanCRM connectionsPrice
StartupOne CRM, HubSpot or Pipedrive$99 per month, or $49 per month billed yearly
GrowthHubSpot, Salesforce and Pipedrive$399 per month, or $199 per month billed yearly
ScaleAll three plus field mapping$999 per month, or $499 per month billed yearly
EnterpriseAll three plus custom objects$2,999 per month, or $1,499 per month billed yearly

Why connect the CRM to onboarding at all

The moment a deal closes is the moment context is most likely to get lost. The account executive knows what was promised, which stakeholder cares about which outcome and what date the customer expects. The implementation team gets a calendar invite and a link to a PDF. Connecting the CRM means the onboarding starts with the deal facts already in place, which is the core idea behind good sales to customer success handoff.

No CRM, no problem

If your deals live in a spreadsheet or you sell through order forms, paste the SOW or order form text instead. The AI onboarding plan reads it the same way it reads a deal, and you can connect a CRM later without rebuilding anything.

Setting up a CRM integration

The same three steps for every CRM. Nothing to code and no keys to paste.

  1. 1

    Connect with OAuth

Open Integrations in your workspace, pick the CRM and approve access in its own window.

  2. 2

    Choose the trigger

Select the pipeline and the closed-won stage that should start onboarding.

  3. 3

    Match a template

Save an onboarding template per product or package so each deal gets the right plan.

Which CRM integration fits your team

Use the CRM your sales team already works in. The onboarding side is identical for all three, so the choice is about where your deals live, not about onboarding features.

  • HubSpot suits teams that run marketing and sales in one place and want onboarding progress on the same deal record they report on. Available from Startup.
  • Salesforce suits larger sales organizations with Opportunities, territories and revenue operations reporting. Available from Growth.
  • Pipedrive suits smaller, fast-moving sales teams that want every won deal to start onboarding without an operations person. Available from Startup.

If you run several sales teams on different CRMs, Growth and above connect all three to one workspace, and every onboarding shows up in the same portfolio view in implementation management.

Frequently asked questions

Still deciding? Write to [email protected] and a person on our team answers.

Which CRMs does OnboardingCustomers integrate with?
HubSpot, Salesforce and Pipedrive. Each connects with OAuth from the integrations screen, so no API keys are copied by hand.
What triggers a new onboarding?
A deal or opportunity moving to the closed-won stage. The onboarding is created with the deal fields, the plan is generated from your matching template and the owner is assigned.
What is written back to the CRM?
The onboarding stage, the target go-live date and the onboarding health. Sales, finance and leadership can report on onboarding progress without leaving the CRM.
Which CRM integrations are on each plan?
Startup includes one CRM, HubSpot or Pipedrive. Growth includes all three, including Salesforce. Scale adds field mapping and Enterprise adds custom objects.
Can I use OnboardingCustomers without a CRM?
Yes. Paste a SOW, an order form or a description of what the customer bought and the plan is built the same way. The CRM connection only removes that manual step.

Connect your CRM and let the next deal start onboarding

Create an account, connect HubSpot, Salesforce or Pipedrive in a few clicks and the next closed-won deal arrives with a plan and a portal.
