Implementation management
Implementation software for every customer project you run
OnboardingCustomers is implementation software for B2B teams. Each customer gets a phased plan with milestones, dependencies and tasks split between your team and theirs. Implementation managers see every project in one portfolio, with days to go-live, blockers and health, while the customer works through their side in a portal.

Implementation project management with both sides in the plan
An implementation succeeds or slips on customer work as often as on yours. The plan treats both teams as owners from the first day.

- Discovery
- Configuration
- Data migration
- Training
- Go-live
Phases and milestones
Work is grouped the way your team delivers it. Milestones such as configuration approved or data validated need a customer sign off before the next phase opens.
Two-sided tasks
Every task is vendor side or customer side, with a named owner and a due date counted from the kickoff, so a slipped date always has a clear owner.
Dependencies that move together
Data migration waits for the approved import template. When an upstream task moves, everything that depends on it moves with it.
Onboarding project management software for a portfolio of customers
An implementation manager rarely runs one project. At Quillmere Freight Partners, a logistics software vendor, each manager carries eight to fifteen live customers, each at a different phase. The hard part is not running one plan. It is knowing every morning which of the fifteen needs attention today.
The portfolio view answers that. Projects are listed with their current phase, days since kickoff, days to the target go-live, the number of overdue customer tasks and the health status with its reason. Sort by risk and the three customers that need a call come first. Filter by manager and team leads see where to rebalance work before a project slips.
Inside each project the plan is the single source of truth. Comments sit on the task they are about. Files attach to the request that asked for them. When the customer approves a milestone in their portal, the plan updates and the next phase opens for both sides.
If you are still building the plan itself, start from our implementation plan template, or paste the statement of work and let the AI onboarding plan build the first draft.

A readiness checklist for customer implementation software
Before you move implementations into any tool, check that it covers the work your team actually does. These are the questions we would ask.
- Can the customer own tasks?Customer contacts need assignments, due dates and reminders, not just read access to a status page.
- Does the plan start from the contract?Retyping the SOW into a template is where scope gets lost. The plan should come from what was sold.
- Are milestones signed off by the customer?Approval of configuration or data should be recorded, with who approved and when.
- Do documents and signatures live in the project?A separate file room and signing tool split the record of what happened.
- Is the CRM updated without effort?Account executives and RevOps should see stage and go-live date on the deal.
- Is there a clean handoff to customer success? The project should end with a brief and an acceptance step, not a forwarded email.
Where implementation software ends and PSA begins
Professional services automation suites cover resourcing, timesheets, rate cards, budgets and invoicing. They are built for the business side of delivering services. Implementation management software is built for the customer side, the plan both teams follow and the experience the customer has while getting live.
Many teams run both. The PSA tracks hours and margin, and OnboardingCustomers runs the project the customer can see. If you are weighing one against the other, our comparison of customer onboarding software and PSA lays out which jobs belong where.
Plans start at $49 per month billed yearly for small teams running up to 10 active onboardings, and every plan includes the customer portal with no charge for customer contacts.
