Handoff to customer success
Customer success platform handoff with the whole story attached
OnboardingCustomers hands each new account to customer success with context instead of a forwarded email. At go-live it drafts a handoff brief with what was sold, what was promised, open risks and the people involved, changes the owner and gives the CS manager an acceptance checklist, whichever customer success platform they work in next.

- Scale plan, 3 warehouses, carrier API
- Promises made in the deal
- EDI feed by Q1, quarterly review

Why customer success software starts with a blind spot
Customer success management software is good at what happens after an account is live. It tracks usage, renewals and health over months and years. What it usually does not have is the story of how the account got there: what the buyer was promised in the last week of the deal, why go-live slipped by three weeks, and which stakeholder pushed back on the data migration.
That story lives with the account executive and the implementation manager. In most companies it is passed on in a thirty minute call or a forwarded email thread, and half of it is lost. The CS manager then meets the champion for the first time and learns about a promise nobody wrote down, usually at the worst possible moment.
OnboardingCustomers closes that gap because the onboarding already holds the context. The deal came from the CRM, the scope came from the SOW, the risks came from the health score and the details came from intake forms and comments. At handoff all of it is summarised in one brief, reviewed by the person who ran the project, and attached to the account.
Example handoff brief
Northwind Logistics, drafted at go-live
- Bought
- Routing and Tracking modules, 140 seats, carrier integration
- Promised in sale
- Custom delivery window report by end of quarter
- Scope change
- Second warehouse added in week three, signed change request
- Open risk
- Dispatch team lead leaving in November, replacement not named
- Champion
- Operations director, active weekly, prefers short calls
- First value
- First shipment tracked end to end on day 34
Three handoffs in one account lifecycle
An account changes hands twice before customer success owns it. Each handoff loses something unless it is structured.
| Handoff | What usually gets lost | How it is carried over |
|---|---|---|
| Sales to implementation | Verbal promises, the real reason the customer bought | Deal fields and SOW read into the plan at closed-won |
| During implementation | Scope changes, risks raised and resolved | Signed change requests and health history on the project |
| Implementation to CS | Context about people, open issues, first value date | AI handoff brief, owner change, acceptance checklist |
We cover the first handoff in depth in our guide to the sales to customer success handoff, including which deal fields to require before an opportunity can close.
A handoff that works with your customer success management platform
Most teams that run a customer success management platform keep it. The handoff is designed to feed whatever comes next. Owner, stage, go-live date and final onboarding health are written to the deal or opportunity in HubSpot, Salesforce or Pipedrive, where most CS tools read account data, and the brief is linked from the record.
Inside OnboardingCustomers, the handoff changes the project owner from the implementation manager to the CS manager only after the acceptance checklist is complete. Until then both can see the project and the customer portal stays open for training and the last open tasks, so the customer does not notice a gap in who is helping them.
For Brightline Health, the CS team asked for one more item in the brief: the list of practices whose staff had not finished training at go-live. It is now a field in their handoff template, filled from training completion in the portal, and it gives the CS manager their first week of outreach before they open any other tool.
Connect your CRM through the HubSpot integration, Salesforce or Pipedrive to write the handoff status back to the account.
CS acceptance checklist
- Read the handoff brief and add questions
- Joint call with the implementation manager and champion
- Review open risks and agree who owns each
- Confirm the renewal date and commercial terms
- Check training completion for key users
- Accept ownership of the account
Editable per template. Ownership changes when the last item is ticked.
