For B2B fintech and payments teams
B2B fintech customer onboarding with documents and an audit trail
B2B fintech customer onboarding brings a business customer from signed agreement to a live account: KYB documents collected, beneficial owners identified, agreements signed, integrations tested and go-live approved. OnboardingCustomers runs that as a plan in a branded portal, with named document requests, e-signatures and a timestamped record of every step.

Where B2B fintech onboarding loses customers
A business customer has signed up for your payments, lending or spend management product. Sales is happy. Then compliance asks for eleven documents, the customer finance lead sends six of them as phone photos, two are expired, the ownership chart is missing a holding company and the authorized signatory is on holiday. Three weeks later the account is still not live, and the customer is wondering why they switched.
In B2B fintech the documents are not optional, and they should not be. What can change is how they are requested and tracked. A list in an email cannot show which item is missing, who is supposed to provide it or whether the version received is the right one. A plan with named requests, owners and due dates can.
Collection, not verification
We collect and track. Your compliance team reviews and decides.
Every step timestamped
Uploads, signatures, approvals and task completions are recorded with person and time.
Named contacts on the customer side
Each request goes to the person who can actually answer it.
A KYB document collection plan
This is the document list a fictional business payments provider, Kestrel Payroll, sends to a new corporate customer, Quillmere Freight Partners. Adjust it to what your compliance policy requires.
| Item | Customer owner | Notes for the request |
|---|---|---|
| Certificate of incorporation | Company secretary | Full document, all pages |
| Articles or operating agreement | Company secretary | Current version with amendments |
| Ownership structure chart | CFO | Down to individual owners above your threshold |
| Beneficial owner identification | Each owner | Requested from each person directly, not forwarded |
| Proof of business address | Office manager | Recent utility bill or lease |
| Board resolution or signatory list | Company secretary | Names who can sign the agreement |
| Recent financial statements | CFO | Only if your product requires them |
| Business questionnaire | Finance lead | Expected volumes, countries, use case, as an intake form |
Each row is a request in the customer portal through document collection, with the owner, the due date and the received status. The questionnaire is an intake form, so answers land as structured fields your team can review.
Signatures with a record next to the plan
The customer agreement, the product terms and any data processing addendum are signed inside the same portal where the documents were collected.
- You choose the signers, for example the two directors named in the board resolution.
- The signing record shows who signed, when and in what order.
- The signed file is attached to the onboarding, next to the KYB documents and the plan.
- A signer who has not signed gets a reminder, and the plan shows the signature as pending.
More on how signing works is on the e-signatures page.
From documents to a live account
Documents are only the first half of B2B fintech customer onboarding. After compliance approves, the customer still needs to connect bank accounts, configure users and approval limits, test an API integration or a file upload and run a first live transaction. Those steps belong in the same plan, so the customer sees one path from signing to go-live rather than a compliance process followed by a separate implementation.
A typical phase order
- Agreement and KYB documents
- Compliance review by your team
- Account configuration, users and limits
- Integration or file format testing
- First live transaction and sign-off
- Handoff to the account manager
Each phase has an owner and a health status, so your onboarding lead can see at a glance whether the account is waiting on the customer, on compliance or on your integration team. The go-live date and health are also written back to the CRM deal if you connect HubSpot, Salesforce or Pipedrive.
What fintech teams should check before choosing a tool
Access control
Customer contacts see only their own onboarding. Team roles control who can view documents.
Record of activity
Every upload, signature and approval is timestamped with the person who did it.
Single sign-on
SAML SSO for your team is available on the Enterprise plan.
Storage per plan
10 GB on Startup, 100 GB on Growth, 500 GB on Scale and 2 TB on Enterprise.
OnboardingCustomers does not hold regulatory licenses or certify your process. It gives your team a clear, recorded way to collect what your own policies require. Read the security page for how data is stored and protected.
