Pipedrive integration

Pipedrive onboarding automation for every won deal

Pipedrive onboarding automation with OnboardingCustomers starts the moment a deal is marked won. The integration connects with OAuth, imports deal fields into an onboarding plan, opens a branded portal for the customer and writes onboarding stage, go-live date and health back to the Pipedrive deal. It is available on every plan.

Why Pipedrive teams need onboarding automation

Pipedrive is built for closing. It is fast, visual and loved by small sales teams. That focus also means its job ends when a deal is marked won. For many companies using Pipedrive, the next step is a founder or an account manager who opens a spreadsheet, writes a welcome email, sends a questionnaire and tries to find a kickoff time. When ten deals close in the same week, half of them start late.

Onboarding automation from the won deal fixes the gap between sales and delivery. Every customer starts the same way, with the same quality, on the day they sign, regardless of who is busy.

Set up in three steps

  1. 1

    Connect Pipedrive with OAuth

Open Integrations, choose Pipedrive and approve access. Select the pipeline whose won deals should start onboarding.

  2. 2

    Save an onboarding template

Phases, tasks for your team and the customer, an intake form and document requests. One template per product or package.

  3. 3

    Win a deal

The onboarding is created with the deal fields, the plan is built from your template and progress starts flowing back to Pipedrive.

Before and after Pipedrive onboarding automation

A fictional IT services firm, Quillmere Freight Partners, wins a deal with Northwind Logistics for managed support across two warehouses.

Without automation

  • The account manager sees the won deal on Friday and plans to start Monday.
  • A welcome email with an attached checklist goes out Tuesday.
  • The customer replies with half the information and a question.
  • The kickoff is booked after four emails about calendars.
  • Sales asks in chat two weeks later whether the customer is live yet.

With OnboardingCustomers

  • The won deal creates the onboarding with the plan from the managed support template.
  • The Northwind operations manager gets a portal with the site list form and access requests.
  • They pick a kickoff slot from the team calendar in the portal.
  • Overdue items trigger reminders to the person who owns them.
  • Sales sees stage, go-live date and health on the Pipedrive deal.

If your team onboards IT clients, the MSP onboarding checklist is a ready template. For everything that runs after the deal arrives, see client onboarding automation.

Built for the size of team that uses Pipedrive

Pipedrive is popular with teams that move quickly and do not have an operations department. OnboardingCustomers fits the same profile. There is no implementation project to set up the tool itself and no sales call to get access. Create an account, connect Pipedrive, save one template and the next deal you win goes through it.

On the Startup plan, Pipedrive is your one CRM connection, with 10 active onboardings, 3 team seats and 20 AI plans per month. When you grow, Growth adds more onboardings and seats, and Scale adds field mapping so a custom Pipedrive field can pick the right onboarding template.

Customer contacts never need a Pipedrive seat or a paid OnboardingCustomers seat. Portal users are included on every plan.

Frequently asked questions

Still deciding? Write to [email protected] and a person on our team answers.

What does the Pipedrive integration automate?
The start of onboarding. A won deal creates the onboarding, deal fields fill the plan from your template and the customer contacts can be invited to their portal. As the onboarding moves, its stage, go-live date and health are written back to the deal.
Do I need a developer to set it up?
No. Connect with OAuth from the Integrations screen and pick the pipeline that should start onboarding when a deal is won. There is nothing to code.
Which plan includes Pipedrive?
Every plan. Startup includes one CRM, HubSpot or Pipedrive. Growth includes all three. Scale adds field mapping and Enterprise adds custom objects.
Can I see onboarding status in Pipedrive?
Yes. The onboarding stage, target go-live date and health are written to the deal, so you can filter and report on them in Pipedrive.
What happens after the deal arrives?
The plan runs with reminders to the owners of overdue tasks, health updates and the kickoff booking. Those steps are covered by the client onboarding automation features.
